This notice describes what happens to your data on rovenzia.com. It is written on what the site actually does, not on what it is customary to write down. If the site changes, this text changes with it; the date of the current version is at the bottom.

Who is responsible

Talvron B.V., trading as Rovenzia, Merlenbergseweg 22, 5754 AX Deurne, the Netherlands, registered with the Netherlands Chamber of Commerce (KvK) under number 42170897, is the controller of your data. For visitors in the UK this notice also applies under the UK GDPR and the Data Protection Act 2018. Questions about your data go to klantenservice@rovenzia.com.

If you are just looking around

The pages of rovenzia.com set no cookies and store nothing in your browser. There is no analytics and no script from any other party is loaded; the fonts come from our own server. The configurator does not remember your design between visits — if you leave halfway through, you start again.

Like every web server, ours keeps an access log with the IP address, the time and the page requested. We use it only to investigate faults and misuse. The log is deleted automatically after fourteen days (measured 20 September 2026: /etc/logrotate.d/nginx, daily, rotate 14).

If you request a quote

You send your design with your email address and, if you fill them in, your name, phone number and postcode. We store that together with your design, your question and the time, under a request number. We need it to send you a quote and to find your request again if you email us about it.

Your design goes as a drawing to the supplier of the profile you chose, so that they can price it. The supplier receives the request number and the items; they do not receive your name, address or email address.

Each request is checked automatically for signs of spam and flagged if it shows them. This involves no profiling of you as a person, and its only effect is on the order in which we look at requests.

If you respond to a quote

Your quote is on a page with its own link that cannot be guessed. What you do there — ticking off items, accepting, or asking for a change — we record with the time, your IP address and the name you give. That is the proof that you accepted what was on it; without that proof we cannot issue an invoice.

If you pay

Payment only happens after you have accepted a quote, by bank transfer to the IBAN on the invoice. Your payment details go through your own bank and not through our site; all we see is that the amount has arrived.

Email

You get email from us about your request, your quote and your invoice, and nothing else: no newsletter, no offers. Replies to those emails arrive at klantenservice@rovenzia.com. To send them we use an email service that acts as a processor for us and in doing so handles your email address and the content of the message; we have a data processing agreement with that service, and it may not use the data for anything else.

Where your data is kept

Everything is on our own server at TransIP in the Netherlands. An encrypted copy of the database is kept every night, also in a second place outside that server: at Backblaze in Amsterdam (region eu-central-003, measured 20 September 2026 in rovenzia-backup.timer and geheimen.env). That copy is therefore also in the Netherlands, inside the European Union.

How long

We keep quotes and invoices for as long as the law requires of a business: invoices for seven years. That is the Dutch tax retention period, and it applies to us as a Dutch company wherever you live. A request that is not followed by a quote we keep no longer than strictly necessary to answer your question and to find it again if you ask something later, in line with the applicable law; if you want it deleted sooner, email klantenservice@rovenzia.com. An invoice is not deleted but lapses; the payment that belongs to it stays in the accounts.

Your rights

You can ask which data we hold about you, have it corrected, or have it deleted as far as the retention period allows, and you can object to processing. Email klantenservice@rovenzia.com; you will get an answer as soon as possible and within four weeks at the latest. To be sure the request comes from you, we may ask for a copy of your ID; black out your photo and the MRZ (the machine-readable strip of numbers at the bottom). If you disagree with how we handle your data, you can complain to the Information Commissioner's Office (ICO), the data protection authority in the UK, or to the Autoriteit Persoonsgegevens, the Dutch authority responsible for us as a company based in the Netherlands.

Changes

We may change this privacy notice; the site always shows the most recent version, with the date at the bottom. If a new version affects how we process data we already hold about you, we will tell you by email.

Security

The site can only be reached over https. The admin screen where we read requests and quotes is behind a password and a secure session cookie; a visitor never gets that cookie. Prices are calculated on the server, not in your browser.
